How to use the calendar feature in Zoho Mail?

Using the calendar feature in Zoho Mail is a great way to manage appointments, meetings, and events. The calendar is integrated directly into Zoho Mail, allowing you to view, create, and manage events right from your email interface. Here’s how you can use the calendar in Zoho Mail:

1. Access the Calendar

  • Log into your Zoho Mail account.
  • On the left-hand side, you'll see a sidebar with different apps.
  • Click on Calendar to open the Zoho Calendar interface. If you don't see it, you may need to click on the "More" or "Apps" icon (usually represented by a 9-dot grid) to find it.

2. View the Calendar

  • Once you're in the Calendar section, you'll see different views like Day, Week, Month, and Agenda.
  • Use these views to easily navigate through your calendar and view events.

3. Create a New Event

  • To create a new event, click on the "+" icon or the "Create Event" button.
  • A form will appear where you can fill in details like:
    • Title: Name of the event.
    • Start and End Date/Time: When the event will take place.
    • Location: Where the event will occur (optional).
    • Description: Details of the event (optional).
    • Invitees: You can invite others by entering their email addresses.
    • Reminders: Set a reminder for the event.
    • Recurring Event: If the event is recurring, you can set it to repeat daily, weekly, monthly, etc.
  • After filling in the details, click Save or Send (if you're inviting others) to add the event to your calendar.

4. Edit or Delete an Event

  • To edit an existing event, click on the event from the calendar.
  • In the event details view, you can make changes to the time, description, invitees, etc.
  • Click Save once you're done editing.
  • If you want to delete the event, simply click the Delete option in the event view.

5. Invite People to an Event

  • When creating or editing an event, you can add guests or invitees by entering their email addresses.
  • Once the event is saved, an invitation will be sent to the invited people, and they will be able to RSVP.

6. Set Reminders and Notifications

  • Zoho Calendar allows you to set reminders for your events. You can receive a pop-up notification, an email, or both, reminding you about the event at the time you specify (e.g., 10 minutes before, 1 hour before, etc.).
  • You can also adjust notification settings to determine how and when you get alerted.

7. Syncing with Other Calendars

  • Zoho Mail’s calendar can be synced with other calendars like Google Calendar or Outlook. This way, events you create or edit in Zoho Mail can be reflected in your other calendar platforms and vice versa.

To sync:

  • Go to the Settings (gear icon in the top-right corner).
  • Find the Calendar Sync options.
  • Follow the prompts to link and sync your calendar with external calendars.

8. Search and Filter Events

  • Zoho Mail allows you to search for events by title, date, or invitee.
  • Use the search bar at the top to find any event quickly.

9. Use the "Agenda" View

  • The Agenda view shows you a list of all events for a specific time period.
  • It’s great for seeing an overview of your schedule without the visual grid of the calendar.

10. Customize Calendar Settings

  • In the calendar settings, you can adjust time zones, date formats, and default reminder times to tailor the calendar to your preferences.
  • To access settings, click the Settings (gear icon) in the top-right corner and select Calendar Settings.

Additional Features:

  • Task Integration: You can integrate Zoho Mail with Zoho Tasks, allowing you to manage your to-do lists directly from the calendar.
  • Team Calendar: If you're using Zoho Mail for a business, you can create shared team calendars to manage company-wide events.
